Strata Management Services

Repairs and Maintenance

  • Liaise with the Owners Corporation’s executive or nominee for routine repairs and maintenance of the common property.
  • Organising appropriately qualified contractors to undertake routine repairs and maintenance. This includes providing quotes to and liaising with the executive or nominee.
  • Project managing non routine maintenance and or improvements to the common property.
  • Be available for out of hours emergency callouts.

Accounting

  • Manage all administrative, sinking fund and other funds of the Owners Corporation.
  • Issue levy notices, bank proceeds and monitor recovery of levy arrears.
  • Pay the Owners Corporations accounts and outgoings including expenses and disbursements incurred in the agent’s management of the Owners Corporation.
  • Provide a reconciled report of the financial position of the Owners Corporation annually including balance sheet, statement of income and expenditure and levy status report.
  • Provide financial statements for executive committee meetings.
  • Preparation and lodgement of tax returns and BAS statements.
  • Prepare budgets for the administrative fund and sinking fund.

 

Secretarial

  • Retain the books, records and Common Seal of the Owners Corporation.
  • Maintain the corporate register.
  • Prepare section 75 certificates.
  • Attend to all correspondence addressed to the Owners Corporation and maintain a correspondence file.

Meetings

  • Prepare and distribute notices of Annual General Meetings.
  • Attend Annual General Meeting and executive committee meetings as required.
  • Prepare and distribute minutes of the meetings.

Insurance

  • Ensure that proper insurances are taken out and renewed in sums agreed to by the Owners Corporation.
  • Prepare and lodge routine insurance claims.
  • Arrange insurance valuations as required.

General

  • Enforce the By-Laws and Articles relating to the Units Titles ACT 2001 to the extent authorised.
  • Advise the committee on matters relating to the Act as they relate to the Owners Corporation.
  • Management of the security system including issuing of additional fobs/swipes etc.

Fees


The above fully array of services may not be needed and every Owners Corporation will have its own requirements. As such we are prepared to negotiate our fees after a discussion of your requirements. It is not the policy of our firm to charge for postage, photocopying, project management, after hours attendances or additional hourly rates etc etc. The fees are set and agreed on and we will spend as much of our time and resources as is required to complete our job professionally and to the highest standard.
Further we do not accept commissions or “incentives” from any of our service providers.


Systems


We are a user of Rockend Products and we would be using Strata Master for management, reporting and accounting purposes. Please see the software features below;

  • Built using Microsoft’s Visual Basic language and SQL Server database management system to minimise cost and ensure reliability and maintainability for many years.
  • Has the unique ability to allow the user to change names of reports and other terminology to suit different jurisdictions and local practices.
  • Accounts for GST on an accrual basis and also provides a cash-based report in ATO format to facilitate completion of BAS
  • Prints levy notices for GST-registered owners corporations in approved AT O tax invoice format.
  • Integrates with Microsoft Word 97, 2000 and 2003 for printing status certificates (e.g. Section 109 Certificate in New South Wales, Section 75 in the ACT) and mail merge.
  • Comprehensively imports data from Rockend’s SMS, and text only data from some other systems.
  • Handles a single general trust account simultaneously with individual plan bank accounts.
  • Implements full accrual-based general ledger accounting for each plan, with unlimited number of accounts in each fund.
  • Calculates trial levies and posts multiple levies for a full year’s budget in one operation.
  • Automatically brings to account levy income in the general ledger when levies become due.
  • Provides for miscellaneous invoices to owners for direct, non-levy charges.
  • Provides for differential levies for mixed use developments.
  • Levy payment methods include mailing to agency, DEFT, BPAY and MICR encoded bank deposit slip.
  • Handles payments using either accrued expenses to creditors and periodic creditor payment by cheque, EFT, or instant “quick cheques”.
  • Caters for MICR encoding of cheques.
  • Maintains Administrative Fund budgets based on provision for recurrent expenses, and Sinking Fund budgets based on provision for asset renewal and replacement
  • Processes downloaded bank statements for major banks to minimise manual receipting and bank reconciliation.
  • Historical data is always available to allow instant printing of historical financial reports.
  • Provides configurable system for management fees, monthly processing and invoicing.
  • Re-uses contact details for owners with multiple lots, thus saving time in data entry.
  • Provides flexible ways of identifying lots by unit or lot number, plan number, or other address details.
  • Uses work orders to manage property maintenance and repairs.
  • Implements a comprehensive diary to record contacts with owners, creditors, and owners corporations, and to manage follow-up action for all strata management staff in a networked office.
  • Maintains and prints strata roll or register with up-to-date information on owners, mortgages, tenants and leases.
  • All reports can be exported in Excel, Word or PDF .files, with custom header details including logos.
  • Insurance claims can be rapidly completed to send to insurance companies.
  • Levy notices can be printed in three ways: in Strata Plan Order; by Strata Manager Portfolio Order; or Strata Plan Range. This is particularly useful for the larger strata agencies.
  • The system provides simple procedures for cancelling levy postings, individual owner levies, or miscellaneous owner invoices.
  • Levy discounting.
  • Simple process for refunding prepaid levies that generates the cheque to go to the owner.
